There are some things I’m simply not taking with me into the next season of my business. 👋🍂

The longer I do this, the more I realize that growth isn’t always about adding something new. Sometimes it looks like recognizing what isn’t working anymore and being willing to leave it behind.

Old habits. Processes that create more work than they solve. Ways of operating that made sense when my business looked completely different. Things I kept doing simply because “that’s how I’ve always done it.”

Experience has taught me to be much more intentional about how I run my business, how I protect my capacity, and ultimately, how I show up for the Realtors who trust me with their transactions.

Because I don’t want to build a business where I’m constantly trying to keep up. I want to build one that gets better, more efficient, and more intentional as I grow. And sometimes that means being willing to say:
This worked for me once...but it doesn’t belong in the business I’m building now.

So, I’m doing a little fall cleaning.

Realtors, what’s ONE thing you’re ready to leave behind in your business before the end of the year? Drop it below. 👇

Ghosts? Fine. 👻 Haunted houses? I can handle them. But “Oh...I thought you were handling that” three days before closing? Absolutely terrifying. 😂

With hundreds of transactions under my belt, I've learned that one of the easiest ways for something to fall through the cracks is when everyone assumes someone else owns it.

Maybe the Realtor thought the TC was handling it. The TC thought the Realtor was handling it. Someone thought title had it. Title thought the lender was handling it. And suddenly four people knew about the task...but nobody actually owned it. 😳

That’s why I’m such a believer in defining roles before we start working together.

Clear roles. Clear communication. Clear ownership.
Not particularly spooky...and that's exactly how I like my transactions. 😉

The clearer those answers are at the beginning, the fewer “I thought you were handling that” moments you have at the end. 👻

That’s a conversation worth having before the first deadline starts ticking.

Closing day can absolutely come with surprises. It’s real estate. I would never be brave enough to promise otherwise. 😂

Here are a few things I never want my Realtor or their client discovering at the last minute:

💰 A major question about the numbers.
There may still be adjustments, but your client shouldn't be completely caught off guard by what they're expected to bring to or receive at closing.

🛠️ An unresolved agreement.
Repairs, credits, amendments, or other agreed-upon items shouldn't suddenly resurface when everyone thought they were handled.

✍️ A missing document or signature.
This is exactly why I believe in reviewing the file throughout the transaction...not opening it during closing week and hoping everything is there.

📍 Confusion about signing.
Where are they going? What time? What do they need to bring? Does anyone have special signing arrangements? Your client should know the plan.

🔑 Questions about possession or keys.
If possession doesn't happen exactly when your client expects it to, that conversation needs to happen before they're standing at the closing table asking for the keys.

👀 And the biggest one: “I didn't know that.”
Your client doesn't need to understand every single thing happening behind the scenes, but they should understand what matters to them...what happens next, what they need to do, what they're waiting on, and what closing day should look like.

Can something still come up unexpectedly? Of course. But there’s a difference between an unexpected issue and an issue that existed for three weeks and nobody caught it.

My job isn't to promise a transaction with zero surprises. My job is to review, track, follow up, communicate, and keep outstanding items visible so the right people have time to address them. Because by closing day, I want to hear a whole lot less: “Wait...WHAT?” 😳 And a whole lot more:
“Yep. We already handled that.” 😌

🏡 Realtors, what's one thing you NEVER want to discover on closing day? Drop it in the comments. And if you want an experienced TC helping you catch the details before they become closing-day plot twists, send me a DM. 📩

Before you call the Ghostbusters… 👻 let’s check your transaction systems first. 😂

Because some of the scariest things in real estate aren’t mysterious at all.

They’re the things that quietly disappear:

👻 The ghosted follow-up — “I emailed them last week…”
🎃 The surprise deadline — “Wait… that’s due tomorrow?”
💀 The document from the dead — “I thought we already had that signed.”
🕸️ The disappearing task — “I was going to handle that…”
👀 The scariest one of all — “Oh… I thought you were handling that.”

And suddenly, everyone is looking at everyone else. 😂 The good news? Your transactions aren’t haunted. Sometimes they just need a better system. Clear ownership. Tracked deadlines. Consistent follow-up. Good communication. And a place for those little loose ends to stay visible until they’re actually done. Because I’d much rather catch a little ghost lurking in the file than let it turn into a full-blown Halloween horror story. 👻

The way I manage transactions today looks very different from the way I managed them when I first started. And I’m glad it does. 👏

Experience has taught me that being a great Transaction Coordinator doesn't mean saying yes to everything, being available every hour of the day, or keeping an impossible amount of information in my head.

In fact, I've learned almost the opposite. I believe in clear boundaries because they create clear expectations. I rely on systems because important details shouldn't depend on my memory. I communicate proactively because I'd rather address something early than react to it later. I protect my capacity because taking on more than I can manage well doesn't serve my Realtors or their clients. And I've stopped confusing being constantly busy with providing exceptional service.

There’s a lot you learn when you’ve managed hundreds of transactions and one thing you learn is that experience isn't just knowing more about contracts, deadlines, documents, and closings. It's also knowing how to build a process that allows you to manage all of those things consistently.

My Realtors don't need me running around putting out fires all day. They need me organized enough to see the smoke before something becomes one. 🔥😉 And that’s one of the biggest ways my experience has changed how I show up for the agents who trust me with their business.

This one is for the Realtors. 🤍

I see the behind-the-scenes. The early mornings. The late nights. The client calls between appointments. The last-minute showings. The tough conversations. The deals that don’t work out. And all the little things you handle that nobody else ever sees.

Keep going. You’re doing more than you realize.

Send this to a Realtor who might need the reminder today.

THE BEST TC SKILLS AREN’T ALWAYS “TASKS.”

They’re knowing how to communicate.
Knowing when to step in.
Knowing when to give space.
Knowing how your agent works.
Knowing how to stay calm.
Knowing how to make the complicated feel a little simpler.

You won’t find all of that on a service menu.
And honestly? Those are some of my favorite parts of the job.

The scariest email in real estate might not look scary at all. No obvious typo. No strange email address that immediately sets off alarm bells. No dramatic “YOU’VE BEEN HACKED!” warning.

Instead, it might look completely normal. And that’s exactly what makes wire fraud so dangerous.

With AI making impersonation and fraudulent communication increasingly convincing, “it looked legitimate” is no longer enough when money is involved.

A fraudulent message could include a familiar name, believable language, transaction details, and just enough urgency to push someone to act before they stop and verify.

That’s why I’m a big believer in setting expectations with buyers before wiring day arrives.

🔐 Never rely solely on wiring instructions received by email.
📞 Verify instructions using a trusted phone number obtained independently, not the contact information provided in a suspicious email.
🚩 Treat unexpected changes to wiring instructions as a major red flag.
⏰ Be cautious when a message suddenly creates urgency around sending money.

And most importantly, when something feels different, stop and verify before taking action.

As a Transaction Coordinator, protecting the transaction isn't only about keeping up with dates, documents, and signatures. It also means helping reinforce good processes and communication throughout the transaction.

Because this October, I'm much less concerned about ghosts in the inbox... and much more concerned about an email pretending to be someone it isn't. 👀👻

Realtor friends, you’re going to want to save this one and share it with your buyers. A quick conversation about wire safety before closing could prevent a very expensive mistake.

I won't tell anyone you hired a Transaction Coordinator... but there might be a few signs. 👀😂

You stop mentally calculating contract deadlines while you're making dinner.
You can walk into a showing without wondering whether someone ever responded to that email.
Your clients are getting updates even when you're sitting across the table from another client.
You have time to follow up with the lead you've been meaning to call.
And maybe...just maybe...you make it through an entire evening without opening your transaction inbox. 🙌

I've learned that one of the biggest benefits of having an experienced TC isn't simply getting tasks off your checklist. It's getting the transaction out of your head. Because if you delegate the work but still have to remember every deadline, check every follow-up, and make sure everything was completed... did you really delegate it?

Be honest… Which sign would make you realize your Realtor friend finally hired a TC? 😂

1. They stopped checking their inbox at dinner
2. They suddenly have time for lead follow-up
3. They actually took a day off
4. They stopped saying “I have to handle one quick transaction thing”

I’m voting for #4. 👀
