“Just a quick vote.”

Easy to say when you’re not the one counting the ballots.

With Meetings Made Easy, owners vote on screen, MME handles the tally, and the PM can check and share the result.

Now available for managing agents and community schemes across South Africa.

An AGM can feel like several jobs happening at once.

Follow the discussion. Find the right document. Check attendance and proxies. Open the vote.

We built Meetings Made Easy to keep that process together.

This demo follows a gutter repair proposal from the meeting pack to the result. Owners can prepare beforehand and vote in the same screen as their Zoom meeting. The managing agent keeps attendance, quorum, the agenda and presentation controls together.

MME is now available to managing agents and community schemes across South Africa.

PM confession: sometimes the reply we send is much more diplomatic than the one in our heads. 😅

A beautifully clear photo of one wet tile arrives.

Toilet? Bath? Shower? Middle of the room?
Small patch? Entire floor?

We can see the grout perfectly. The rest of the scene is anyone’s guess.

When you’re standing there, the context feels obvious. It just doesn’t travel with the close-up.

So out goes the polite request:
“Could you send one wider photo so we can see where the water is?”

Property people, what sentence did you never expect to say this often in your job?

“I’ve paid.”

Friday, 21:45. Not exactly the Friday night puzzle an owner wants.

In one recent enquiry, an owner had been paying into the body corporate’s previous account. PropAI’s AI assistant compared the details, replied within 15 minutes, explained the difference, asked for proof of payment and kept the item open for follow-up.

That first reply did not close the case. It gave the owner a clear next step and kept the question visible to our team.

If your statement did not match what you had paid, what would you want explained first? Please keep payment details out of the comments.

Apparently, Gustaf is the assistant now. 😅

Gustaf has started handing our AI more of the first pass. He still checks the result and makes the calls that need a person.

A maintenance request rarely stays in one email. A resident follows up, a contractor replies and a trustee asks where things stand. Our system links those messages and keeps the item’s status current.

That means less time digging through inboxes and more time at the building, talking to people and working out the next step.

If you work in property, what would you happily hand to an assistant, and what should always stay with a person?

You bought a home.

Somehow, you also got a helpdesk.

The gate. The parking. The “quick one” during dinner with six screenshots.

Trustees care about their complex. Every maintenance update shouldn’t depend on their personal phone.

Could a new resident find where to report a fault without asking a trustee first?

And once it’s reported, is it clear who is handling it and where the next update will appear?

At PropAI, our AI brings relevant correspondence and records together for our team to review. Clear responsibility and follow-up still matter.

Trustees deserve to finish dinner too.

What’s the “quick question” that keeps landing in your complex?

“Just approve it.”
Always sounds like the quickest job in the inbox.

The invoice matches the quote. Then an email changes the supplier’s bank details.

In our new article, a fictional Friday invoice shows why the full story matters.

At PropAI, our AI brings relevant emails, decisions and documents together, with sources our team can check.

Before approving, check what the approval covers, independently verify changed payment details and confirm who has authority to proceed.

This goes beyond invoices: what can the AI prepare, and what is it allowed to act on?

AI helps us spend more useful time at the buildings.

Yes, the coffee with trustees counts.

With an AI assistant on hand, our team can take a photo, log an observation, start a report and get quotation requests moving while still on site.

That gives us more room to look around and ask:

Why does this keep failing?
Repair it again, or plan a replacement?
What should we be planning for?

And more time to hear what matters to the trustees and what they want for the building.

What’s the first thing you’d show us on a walk around your building?

The lowest quote gets everyone's attention.

“Access equipment excluded” deserves some attention too.

For a building repaint, one price may include preparation, access and cleanup. Another may exclude them.

The cheaper quote can still be the right choice. First, compare the full job and any costs the scheme will need to cover separately.

At PropAI, our AI brings together the relevant quotations, correspondence and supporting records. Our team uses that context to prepare a comparison with scope differences and unanswered questions made clear.

If a quote doesn't say whether something is included, mark it as unclear and ask.

Nobody wants to discover they only budgeted for Part 1.

What's the exclusion you always check first?

“Urgent. The gate isn’t working.”
A familiar Monday morning message. 😅

Which gate? And what does “isn’t working” mean?

We check who sent it and how they relate to the building.
A Block 1 resident may mean that block’s entrance. A useful clue, but we still confirm it.

After notifying the team, a reply could be:
“Thanks for letting us know. I’ve notified the team. Just to confirm, do you mean the entrance gate at Block 1?”

When you’re standing beside it, “the gate” feels specific enough. The person receiving the message may have several entrances to consider.

What’s the message in your complex that always needs three more questions?
