The tenant moved out. Now the real work begins.

Before the next tenant moves in, there's often a list of things to tackle: inspect the space, handle repairs, address maintenance issues, clean thoroughly, and make sure everything is ready.

The tricky part? Getting it all done in the right order.

Clean too early, and repairs might leave a mess behind. Miss a maintenance issue, and move-in could be delayed.

What's the biggest challenge your team faces during a tenant turnover?

A floor can be clean and still be unsafe.

Slippery surfaces, moisture, worn finishes, uneven transitions, and damaged flooring can all create potential hazards, even when everything looks spotless.

Cleaning matters, but so does checking the condition of the floor itself.

Are your floor inspections focused on appearance, safety, or both?

Sometimes a simple request turns into something bigger.

We arrive to handle one task, but while we're there, we notice another maintenance issue, cleaning need, or potential problem nearby.

That’s why facility work isn’t always about checking off one request.

It’s about looking at the space as a whole and asking, “What else should we be aware of?”

Sometimes the best next step is simply completing the original task. Other times, noticing a related issue can help prevent a bigger problem later.

Does your team look beyond the original request?

🏢 Ever wonder why your building maintenance budget keeps getting blown? For many property managers, the real cost isn’t just the repair bill, it’s the scramble between vendors and the surprise of one more emergency. This guide breaks down what maintenance can cost per square foot, why reactive repairs add up, and how a more coordinated, preventive approach can make planning easier.

What happens when cleaning, maintenance, and turnovers don't talk to each other?

One team finishes a job that another team didn't know about.

A task gets missed.

A schedule gets pushed back.

Someone has to go back and fix what could have been coordinated the first time.

The result? More delays, duplicated work, and inconsistent results.

When facility services communicate and work from the same plan, everything can run more smoothly.

Are your cleaning, maintenance, and turnover teams working together?

We noticed a small issue during a walkthrough.

It wasn’t an emergency, but we didn’t want to ignore it either.

So we asked:
Should we investigate?
Does it need repair?
Can we monitor it?
Is it time to call for professional support?

Not every facility issue needs the same response.

The important part is knowing what happens next before a small problem becomes a bigger one.

What’s your first step when something in your facility looks off?

Could your facility answer these 3 questions without guessing?
What issue is currently being monitored?
What maintenance is coming up?
Who owns the next step?

When everyone knows what’s happening and who is responsible, facility operations run more smoothly.

How would your team answer these today?

Facility hot take: Not every problem needs the same response.

A flickering light, a leaking pipe, or a temperature complaint.

They’re all maintenance issues, but they shouldn't necessarily land at the top of the list at the same time.

When you're managing a facility, prioritization matters.

We usually look at a few things:
Does it create a safety risk?
Could it disrupt operations?
Will waiting make the problem worse?
Does it affect tenants, employees, or visitors?
Can it be scheduled without creating a bigger issue?

The goal isn't to fix everything at once.

It's to make sure the right problem gets attention at the right time.

Because when every maintenance request is treated like an emergency, it's easy for the truly urgent issues to get lost in the noise.

How do you decide what gets attention first at your facility?

We’ve managed enough facilities to know there’s always one thing.

Maybe it’s the door that doesn’t close quite right.

The ceiling tile that’s been sitting slightly out of place.

The damaged corner you keep telling yourself needs a quick repair.

Nothing urgent. Nothing that needs immediate attention.

So you walk past it.

And then you walk past it again tomorrow.

The reality is, facility managers and property owners aren't putting these things off because they don't care. There’s always something more pressing.

But we've also seen how those small issues can eventually turn into bigger headaches when they stay on the list too long.

That’s why we believe good facility maintenance isn't just about fixing what's broken.

It’s about having a system for catching the small things, prioritizing them, and getting them handled before they become bigger problems.

Sometimes, the best maintenance decision is simply taking care of the thing you've been walking past.

What’s the one maintenance issue you've been meaning to get around to?
