Industrial leverage lives in the details

A user may hear that Houston has available warehouse space and assume that means every building is negotiable. In reality, the true competitive set can shrink quickly once you apply the actual operational needs

-Clear height
-Loading
-Power
-Truck circulation
-Trailer parking
-Yard
-Column spacing
-Office ratio
-Access
-Labor reach
-Timing

These details determine whether a building is just available or actually usable

That is why broad market averages can only take you so far. The more specific the operation, the more important it becomes to compare the buildings that truly fit

Remember:
Availability creates options
Function determines leverage

Waiting on the landlord’s renewal proposal is not a strategy

It is giving someone else control of the clock

Tenant leverage is built before the proposal shows up. It comes from knowing your timing, understanding the current market, comparing credible alternatives, and having a clear view of the full economics before you respond

That does not mean every tenant should move

It means you should know whether staying is the best option or just the easiest option

Now is the best time to get organized if your lease expires in 2027 or early 2028. Once that deadline gets tight, your options can narrow down quickly, and the negotiation can shift back towards the landlord

Leverage is real.

But you have to create it before you need it.

A good office tour should not start at the suite door.

It should start in the parking lot.

Before a tenant gets excited about the layout, finishes, views, or conference room, the bigger question is whether the building actually works for the business.

How easy is it for employees to park?

How does the building feel when clients walk in?

Are the common areas maintained?

Does management respond?

Can the building support after-hours needs, security, amenities, and the way your team actually operates?

A suite can look great and still sit inside the wrong building.

That is why the whole property matters.

Tour the vacancy, but evaluate the building.

The biggest renewal mistake is waiting until the landlord controls the clock.

A renewal should not start when the proposal hits your inbox. By then, the timeline is already working against you.

You need time to benchmark the market, review comparable buildings, understand current concessions, evaluate relocation options, and get your internal decision-makers aligned before negotiations get serious.

That does not mean you have to move.

It means you need to know whether moving is a real option.

When the timeline gets tight, choices shrink. And when choices shrink, leverage usually shifts back to the landlord.

Time creates options.

Options create leverage.

Asking rent is not enough to compare two office deals.

It is just the number everyone sees first.

The stronger comparison is the effective cost. That means putting rent, free rent, TI dollars, operating expenses, parking, term length, escalation structure, renewal rights, and flexibility into the same analysis.

That is where the real story usually shows up.

One proposal may have a lower quoted rate but weaker concessions. Another may look more expensive upfront but create better value over the term. Without comparing the full economics, it is easy to pick the deal that looks cheaper instead of the deal that actually performs better.

Different proposals need one comparable number.

That is how tenants make cleaner decisions and negotiate with more leverage.

Base rent is usually the number everyone notices first.

But it is rarely the full cost of occupying the space.

Operating expenses, parking, utilities, after-hours HVAC, janitorial, building services, and other recurring charges can change the deal quickly. Two office options can have similar quoted rents and still produce very different monthly costs once the full expense picture is included.

That is why tenants should compare proposals line by line.

Not just rent to rent.

A lower base rate may look better on the front end, but the real question is what the business will actually pay over the full lease term.

Base rent is one line in the budget.

The full occupancy cost is what should drive the decision.

Tenant improvement dollars can make a deal look stronger.

But the number alone does not tell you if the deal actually works.

A larger TI allowance may help offset buildout costs, but tenants still need to understand the full scope. What does the space need? What will construction actually cost? Who controls the work? What happens if pricing changes? Who pays for overruns? How does the buildout timeline affect rent commencement?

That is where a proposal can look good on paper and still create problems later.

TI dollars should be compared against the actual work required, not just treated like a concession.

The real question is simple:

Will the allowance cover the space your business actually needs to operate?

Free rent is not just a nice line item in a proposal.

It changes the economics of the deal.

A few months of free rent can lower the effective cost across the lease term, improve cash flow during buildout, and create room for moving expenses, furniture, technology, or other transition costs.

But it has to be measured correctly.

Tenants should not just ask, “How many months are free?”

They should ask how that concession affects the total occupancy cost, the lease structure, the timing, and the overall value of the proposal.

Because two deals with the same asking rent can produce very different outcomes once the concessions are fully calculated.

Concessions have value.

Quantify it before you negotiate.

The rent on the flyer is only the starting point.

It is not the full deal.

Two office spaces can have similar asking rents and completely different economics once you factor in free rent, tenant improvement dollars, operating expenses, parking, after-hours HVAC, buildout timing, moving costs, and lease flexibility.

That is where tenants can get misled.

A lower quoted rate may look better at first glance, but the real question is what the space will actually cost over the full term and whether the building supports the way your business operates.

Before choosing the “cheaper” option, compare the full deal.

Not just the face rate.
