WPF Services WPF Services specializes in real estate transaction management for Realtors across Florida, Georgia, Washington, and Idaho.

We help agents stay organized, compliant, and stress-free. Here at White Pickett Fence Services, our goal is to take all the guesswork out of a real estate transaction. From the client to the agent, to the closing attorney, to the lender. Our sole purpose is to make sure all the I's are dotted and T's crossed to ensure a timely and smooth real estate transaction. Once the contract is executed this is where our team steps in! We complete a summary of all the time sensitive deadlines within the contract and provide this to the client, the co-op agent, the lender and the attorney to ensure everyone is on the same page. After that, we follow up on all the deadlines laid out in the summary to ensure everything is on track! This allows the agent to focus on what they do best, which is selling homes! On average, an agent will spend about 13 hours on any given transaction once it goes under contract. For a flat rate, you can be sure that 13 hours of your time is spent prospecting, showing homes, or even on vacation. Utilizing the time leverage of a transaction coordinator can allow you to take your business to the next level and give you peace of mind knowing all addendums have been shared, all deposits have been completed, all you have to do is collect your commission check. White Pickett Fence Services, LLC helping you deliver the real estate experience your customers expect.

Before you call the Ghostbusters...let’s check your transaction systems first.

Because some of the “scariest” things we see in real estate usually aren't caused by anything mysterious. They’re caused by open loops.

- The follow-up that got ghosted and nobody followed up again.
- The deadline that was technically on the calendar but somehow still snuck up on everyone.
- The document everyone thought was complete until someone noticed the missing signature.
- The task someone definitely planned to handle...until a busy day happened and it disappeared.

And possibly the scariest sentence in real estate:
“Oh...I thought you were handling that.”

After managing thousands of transactions, we've learned that most transaction chaos isn't caused by one huge mistake. It's usually a collection of small things that didn't have a reliable system behind them.

That's why we don't like important details depending on someone's memory. We want clear ownership, tracked deadlines, documented updates, consistent follow-up, and a process for keeping outstanding items visible until they're actually resolved. Because your contract isn't haunted. But if important tasks keep mysteriously disappearing...your systems might be.

Realtors, which transaction ghost has visited your business before: ghosted follow-ups, mystery deadlines, documents from the dead, disappearing tasks, or “I thought you had it”? Drop yours below. And if you're ready to get some of that chaos out of your transactions for good, our DMs are open.

There’s a big difference between giving an update and actually managing a transaction.

Does something need to happen next? Is there a deadline attached to it? Does someone need to follow up? Could this create an issue later? Does my agent need to step in? And one of the biggest ones... Has the item actually been resolved, or was an email simply sent?

“I sent the email” has never been our definition of complete.

That’s one of the differences experience makes. We're not here just to move information from one person to another. We're here to help manage the moving pieces of the transaction so our agents can stay focused on the parts of the business that actually require them.

One question we think every Realtor should ask themselves about their transaction process:

“Do I know something was actually completed, or do I just know someone said they were going to do it?”

There’s a big difference.

What’s one part of your transaction process you never want to have to double-check?

Some transaction habits don’t feel like red flags because they’ve become completely normal.
But if you’re growing your business, these are three things to pay attention to:

1) Everything lives in your head.
You know which client is waiting on what, which lender needs a follow-up, what happened during inspection, which deadline is coming up, and what still needs to be signed…because you remember it. That might work when you have a few transactions. It gets harder when you have 10, 15, or 20 things happening at once.

2) Every transaction gets handled a little differently.
If your process depends on the specific file, the specific client, or what you happen to remember that day, it becomes much harder to create consistency. A good transaction process should be repeatable.

3) You only notice the weak spots after something goes wrong.
The missed detail. The communication gap. The document you thought was handled. The deadline that suddenly became urgent. Those moments are usually telling you something about the process, not just the individual transaction.

The goal isn’t to create a complicated system with 47 steps. It’s to know what should happen, when it should happen, who owns it, and how you’re going to know it actually happened.

Because the systems that support your business when things are calm are the same systems that keep things from unraveling when business gets busy.

Which of these would you say is the biggest red flag in your current transaction process: 1, 2, or 3?

Our Monday mornings don't start with opening our inbox and hoping it tells us what needs attention.

After managing thousands of transactions, we’ve learned that reacting to whatever hits your inbox first is one of the fastest ways to feel behind.

A well-managed transaction should have a system behind it. And our agents shouldn’t have to check in constantly to make sure their files are being handled.

That’s one of our favorite parts of good transaction management...turning all those moving pieces into a process that feels a whole lot less chaotic.

We’ve got TWO WPF anniversaries to celebrate this month!

Eight years and five years means a whole lot of transactions, changes, growth, problem-solving, laughs, and memories along the way. We’re so grateful for everything these two have poured into WPF and for the huge part they’ve each played in helping us grow into the team we are today.

Happy WPF Anniversary, Johanna & Lindsey! Here’s to many more years of doing what we do best together.

Your client may not text you the question... but that doesn't mean they aren't thinking about it.

After managing thousands of transactions, we've learned that some of the most important communication happens before anyone asks for it.

“Here's what happens next.”
“Everything is still on track.”
“You don't need to do anything right now.”
“If this happens, here's what we'll do.”

Those may feel like small updates, but to a client making one of the biggest financial decisions of their life, they're anything but small.

Great transaction management isn't only about deadlines and documents. It's also about anticipating the questions, setting expectations, and helping the client feel informed from contract to close.

Realtors, what’s one question you find yourself answering over and over again during a transaction? That’s probably a question your clients need answered before they think to ask it.

When an agent says, “I just need more time,” they usually don’t mean they need more hours in the day.

They need more time to follow up with leads.
More time to market and grow.
More time to focus on clients.
And maybe an evening without checking their phone every five minutes.

That’s where a great TC makes a difference.

Delegating your transaction management isn’t giving up control, it’s getting support for the things that don’t always require you.

We handle the details so you have more time to sell, grow, and enjoy the business you’ve built.

If you keep saying, “I just need more time,” maybe it’s time to take a few things off your plate. Send us a DM. :-)
