Six years in and around property, and the admin still caught me off guard.

Not any one task. The sheer number of them. Contract out, invoice out, a photo of someone’s ID at the front desk, the PIQ chased by email and typed back in by hand.

Each one its own job and someone has to remember all of them.

What stuck with me more is what it does to people. Busy spell hits, and the admin comes home with you. Laptop open after tea, finishing what didn’t fit in the day.

That’s not a work ethic problem. Agents graft plenty, it’s the process leaning on them to hold it together.

And most of it can be automated. Still can’t quite get my head round that.

If your evenings have started belonging to the inbox, it’s worth a chat.

Explaining what Kotini does in one sentence is harder than it sounds.

Not because it’s complicated. Because it covers a lot of ground.

Contracts, ID and AML, payments, material information, title – for a lot of agencies, each of those lives somewhere different, with someone on the team holding it all together.

So the honest one-sentence answer is this: we put it all in one place. One journey for your client.

One place for your team to see where everything’s up to.

That’s the whole idea, really. Less time chasing paperwork, more time doing the job you actually signed up for.

Got a question about onboarding you’d like answered? Pop it in the comments.

“How fast are your checks?” is a question I get asked a lot. It’s a fair question. It’s just not quite the right one.

Usually, the agent asking has been burned before. The check itself was quick. Getting the client to actually start it took days.

So when I’m asked, I try to answer the question underneath it. How long does it take to get an instruction ready to list?

That’s the number that affects your week, and your vendor’s.

It’s worth timing your own process once. Not each step – the whole thing, from the instruction being signed to everything being in. Where does it actually sit still?

If you’d like to compare notes on what you find, I’m genuinely happy to have that conversation.

The best part of any demo isn’t when I show the product. It’s when the agent hears their own process said out loud.

The CRM, the separate ID check, the contract going out by email, the chasing – all of it, one step after another. It almost always sounds messier than it felt day to day.

I don’t need to sell anything at that point. Honestly, I’d rather not.

Once someone can see their own problem clearly, the questions start to change – how quickly can we get going, does it work with our CRM, what does setup look like?

That’s the moment. Not me convincing them – them seeing it for themselves.

If you’ve never walked through your onboarding step by step, out loud, give it a go.

And if you fancy a second pair of ears, my DMs are open.

The little things. That's what it comes down to for me.

I'm Ben, founding BDM at Kotini.
Five or six years in proptech before this, most recently on the lettings side at Goodlord and Vouch before they merged.

The biggest issue in this industry?
Time.

Everything else compounds from there: missed calls, missed instructions, admin backing up, compliance risk, stress.

It all starts with not having enough time to do the things that actually matter.
That's why I'm here.

The mantra I try to work by is straightforward: do the little things well.
It comes from a sporting background, the idea that the 1% efforts nobody sees are what produce the results people do.

That still makes sense to me every day.

Three or four systems, collated by hand. That was the picture before.
⁣
Iwan Hall, an Associate at Chantries & Pewleys in Guildford, describes how they used to work: relying on "three or four different systems that we were having to manually collate" into one place.
⁣
Today, Loop, their CRM, is connected to Kotini. The AML reports and property data collected in Kotini are pulled through to Loop, so they aren't copied across by hand.
⁣
The result, in his words: they know their CRM systems are "completely up to date".
⁣
Fewer systems to keep in step.

Over 2,000 transactions.

Thousands of hours of admin saved.
One team that can finally focus on what they're actually there to do.

Stow Brothers came on board back in 2023, one of our earliest agencies, and now one of our largest by volume.

Kenny and Andrew brought us in to clean up their onboarding process and get properties to market faster.

What's happened since is that the admin team are doing less of the repetitive stuff, which means everyone else gets to spend more time on the things that actually matter: building relationships, selling properties, doing the job properly.

They've just hit the 2,000 transaction mark with us.
That's not a small number.

If you're curious what that kind of operational shift looks like in practice, we're always happy to talk.
