Today’s fortnightly PMC peer session was all about AI, and how property managers are actually using it (not just talking about it).

Here’s what came up:

🔹 Using AI to check whether proactive gutter cleans actually reduce roof leak jobs, so owner conversations are backed by real data, not gut feel

🔹 An AI agent that helps run six-monthly investor audits, so every owner gets the right information whether they book a meeting or not

🔹 Cleaning up salutations and compliance data (smoke alarms, insurance, pools, blind cords) without hours of manual entry

🔹 Keeping a Google Drive as the “brain” behind your AI tools, so Claude and ChatGPT are working from the same playbook

🔹 Whether your privacy policy and management agreements actually mention AI yet (most don’t)

🔹 My morning brief that tells me what matters today before I’ve opened my inbox

None of this was a polished presentation. It was property managers sharing what’s working, what’s clunky, and what they’re still figuring out.

You don’t need to work it all out on your own which is why these fortnightly peer to peer sessions are so valuable!

PMC Learning Lab members join these every fortnight.

Had a 1:1 with a PMC client today, and it reminded me of a lesson I'm still learning.

Don't jam too much into one session.

I get excited. I want to give people everything at once. But I've learnt that overwhelm doesn't create change, focus does.

So now I pick two or three learning moments per session. That's it.

Today we covered best practice for AI and landed on the top three things to implement:

👉 One for the team
👉 One for the business owner
👉 One for the BDM

Three things. Three owners. Actually doable by next week.

I don’t think enough people are asking themselves this question 💭

The shower’s leaking, says the tenant.

So you book a plumber. Plumber turns up, takes one look and says it just needs a regrout. Owner gets the invoice. You get the awkward phone call.

Maintenance is roughly half of what a property manager does every single day. And most of us learnt it exactly like that. One unnecessary callout at a time.

We’re bringing it to Sydney.

Something said in our family and domestic violence session has stayed with me all week

For someone who has lived with control, a property manager can feel uncomfortably familiar.

Let that sink in.

Asking for personal information. Telling them how their home should be kept. Demanding payment by a deadline. Turning up to inspect their space.

We do these things every day, for good reasons. But to someone who’s lived with coercive control, it can feel like someone else is in charge of their life again.

That doesn’t mean we stop doing our job. It means we think about how we do it.

Explaining why we need information. Giving choices where we can. Softening the language in our notices. Noticing when someone goes quiet.

Small changes. Big difference to the person on the other end.

Huge thanks to Chelsea from Mettle Women and Holly from Ruah for opening our eyes to this.

PMs, have you ever looked at your processes through this lens?
