Before you call the Ghostbusters...let’s check your transaction systems first. 👻😂

Because some of the “scariest” things I see in real estate usually aren't caused by anything mysterious. They’re caused by open loops.

👻 The follow-up that got ghosted and nobody followed up again.
📅 The deadline that was technically on the calendar but somehow still snuck up on everyone.
📂 The document everyone thought was complete until someone noticed the missing signature.
💀 The task someone definitely planned to handle...until a busy day happened and it disappeared.

And possibly the scariest sentence in real estate:
“Oh...I thought you were handling that.”

After managing hundreds of transactions, I've learned that most transaction chaos isn't caused by one huge mistake. It's usually a collection of small things that didn't have a reliable system behind them.

That's why I don't want important details depending on someone's memory. I want clear ownership, tracked deadlines, documented updates, consistent follow-up, and a process for keeping outstanding items visible until they're actually resolved. Because your contract isn't haunted. But if important tasks keep mysteriously disappearing...your systems might be. 👀

🎃 Realtors, which transaction ghost has visited your business before: ghosted follow-ups, mystery deadlines, documents from the dead, disappearing tasks, or “I thought you had it”? Drop yours below. And if you're ready to get some of that chaos out of your transactions for good, my DMs are open.

The scariest email in real estate might not look scary at all. No obvious typo. No strange email address that immediately sets off alarm bells. No dramatic “YOU’VE BEEN HACKED!” warning.

Instead, it might look completely normal. And that’s exactly what makes wire fraud so dangerous.

With AI making impersonation and fraudulent communication increasingly convincing, “it looked legitimate” is no longer enough when money is involved.

A fraudulent message could include a familiar name, believable language, transaction details, and just enough urgency to push someone to act before they stop and verify.

That’s why I’m a big believer in setting expectations with buyers before wiring day arrives.

🔐 Never rely solely on wiring instructions received by email.
📞 Verify instructions using a trusted phone number obtained independently, not the contact information provided in a suspicious email.
🚩 Treat unexpected changes to wiring instructions as a major red flag.
⏰ Be cautious when a message suddenly creates urgency around sending money.

And most importantly, when something feels different, stop and verify before taking action.

As a Transaction Coordinator, protecting the transaction isn't only about keeping up with dates, documents, and signatures. It also means helping reinforce good processes and communication throughout the transaction.

Because this October, I'm much less concerned about ghosts in the inbox... and much more concerned about an email pretending to be someone it isn't. 👀👻

Realtor friends, you’re going to want to save this one and share it with your buyers. A quick conversation about wire safety before closing could prevent a very expensive mistake.

I won't tell anyone you hired a Transaction Coordinator... but there might be a few signs. 👀😂

You stop mentally calculating contract deadlines while you're making dinner.
You can walk into a showing without wondering whether someone ever responded to that email.
Your clients are getting updates even when you're sitting across the table from another client.
You have time to follow up with the lead you've been meaning to call.
And maybe...just maybe...you make it through an entire evening without opening your transaction inbox. 🙌

After managing hundreds of transactions, I've learned that one of the biggest benefits of having an experienced TC isn't simply getting tasks off your checklist.

It's getting the transaction out of your head.
Because if you delegate the work but still have to remember every deadline, check every follow-up, and make sure everything was completed... did you really delegate it?

I want the Realtors I support to know their transactions are being actively managed while they're out doing the work that requires them. Showing homes. Negotiating contracts. Meeting potential clients. Following up with leads. Growing their business. And occasionally...eating dinner without checking their phone. 😉

Be honest… Which sign would make you realize your Realtor friend finally hired a TC? 😂

1. They stopped checking their inbox at dinner
2. They suddenly have time for lead follow-up
3. They actually took a day off
4. They stopped saying “I have to handle one quick transaction thing”

I’m voting for #4. 👀

I’ve managed enough transactions to have developed a few opinions along the way. 😂

So, Realtors...here are five of my TC hot takes:

🔥 Your inbox is not a transaction management system.

If you have to search old emails every time you need to figure out where something stands, the process needs work.

🔥 “I sent the email” doesn't mean it’s handled.

Sent, received, answered, and resolved are four different stages. I care about the last one.

🔥 Your clients don't need every single behind-the-scenes detail.

They need clear, relevant communication that helps them understand what’s happening, what they need to do, and what comes next.

🔥 Not everything is urgent.

One of the skills experience gives you is knowing the difference between something that needs to be handled today and something that needs to be handled right now.

And finally...

🔥 The best Realtors I work with aren't trying to do everything themselves.

Not because they aren't capable. They've simply learned that being able to do something doesn't automatically make it the best use of their time.

Real estate has enough moving pieces already. Good systems, clear communication, experienced support, and knowing what actually deserves your attention make the entire business easier to operate.

Realtors, which one are you agreeing with immediately...and which one are you ready to argue with me about? 😂

Drop the number below. And if #5 hit a little too close to home, my DMs are always open. 📩

A smooth closing can look pretty uneventful from the outside.

Everyone knows where to go. Documents are ready. The client knows what to expect. Outstanding items have been handled. People show up, sign, fund, and celebrate. 🎉

But after managing hundreds of transactions, I can tell you that the calmest closing days usually have a lot of work behind them. They started with a complete handoff.

📅 Deadlines were managed before they became urgent.
📩 Follow-ups continued until there was an actual answer.
✍️ Changes were communicated to the people who needed to know.
📂 The file was reviewed early enough to fix something without creating a closing-week emergency.
🏡 And the client knew what to expect before closing day arrived.

One of the biggest lessons experience has taught me is this: Three weeks early can be an inconvenience. Three hours early can be an emergency.

That’s why I don’t want closing week to be the first time I'm taking a hard look at the file and asking what's missing. By then, I want to be confirming details...not discovering problems.

Of course, no amount of transaction management can guarantee that something unexpected won't happen. This is real estate. 😂

But when the transaction has been managed proactively from the beginning, I'm in a much better position to recognize an issue early, communicate it quickly, and keep the right people informed.

Realtors, if you want closing day to feel like the final step of a well-managed transaction instead of the finish line of a three-day scramble, send me a DM.

📩 I'd love to be the experienced TC behind your next contract.

As your Transaction Coordinator, there are a few things I’ll always tell you. 😉

I’d rather you ask me than guess. I’d rather know about a change immediately than discover it three days later. I’d rather have the full story when you hand me a file, especially if something unusual has already happened.

I’m going to follow up when something is outstanding, and sometimes I’m going to follow up again. And when something requires your expertise, your decision, or your relationship with the client, I’m going to bring you in.

After managing hundreds of transactions, I’ve learned that a strong Agent + TC partnership isn't created by eliminating communication. It’s created by better communication.

I want my Realtors to know what I’m responsible for, what still belongs with them, when I need their attention, and when they can confidently step away because I’ve got it handled.

You shouldn't have to manage behind me to make sure I'm doing my job. And I shouldn't have to guess about decisions or changes you've already made.

When both sides understand their roles, the transaction becomes a whole lot easier to manage...and ultimately creates a better experience for the client, too. 🙌

That “Work With Me” email is not just a friendly introduction. It explains how we’ll work together, what I need from you, where to send documents, when you can expect updates, and what happens next.

Reading it helps us:
✔️ Start each file with the right information
✔️ Avoid missing documents and unnecessary delays
✔️ Keep communication clear
✔️ Set realistic turnaround times
✔️ Prevent the classic “Wait…where was I supposed to send that?” moment

Clear onboarding expectations create a smoother experience for everyone, including you, your clients, and the other parties involved.

So yes, I can tell when you didn’t read it... but, it’s never too late to search your inbox. 😉

Could you manage your transactions yourself?

Absolutely.

But the real question is: Do you want every follow-up, deadline, document, and loose end depending on you?

A good transaction coordinator isn’t there because you *can’t* manage your transactions.

They’re there to keep the process moving without requiring you to keep every detail in your head.

Because when your business gets busy, having a system matters.

And having someone whose job is to keep that system moving? Even better.

Some transaction habits don’t feel like red flags because they’ve become completely normal. 👀 But if you’re growing your business, these are three things I’d pay attention to:

🚩 Everything lives in your head.
You know which client is waiting on what, which lender needs a follow-up, what happened during inspection, which deadline is coming up, and what still needs to be signed…because you remember it. That might work when you have a few transactions. It gets harder when you have 10, 15, or 20 things happening at once.

🚩 Every transaction gets handled a little differently.
If your process depends on the specific file, the specific client, or what you happen to remember that day, it becomes much harder to create consistency.
A good transaction process should be repeatable.

🚩 You only notice the weak spots after something goes wrong.
The missed detail. The communication gap. The document you thought was handled. The deadline that suddenly became urgent. Those moments are usually telling you something about the process—not just the individual transaction. The goal isn’t to create a complicated system with 47 steps.

It’s to know what should happen, when it should happen, who owns it, and how you’re going to know it actually happened.
Because the systems that support your business when things are calm are the same systems that keep things from unraveling when business gets busy.

Which of these would you say is the biggest red flag in your current transaction process: 1, 2, or 3?

If you’ve been in real estate long enough, you already know that no two transactions are exactly the same...but somehow ...

If you’ve been in real estate long enough, you already know that no two transactions are exactly the same...but somehow the same things keep finding their way onto the bingo card. 😂

Closing date changed? ✔️
Waiting on a signature? ✔️
Lender needs “one more thing”? ✔️
Survey scavenger hunt? ✔️
Someone says, “I thought I sent that”? Of course. ✔️

After managing hundreds of transactions, very little surprises me anymore. And while this graphic is all in good fun, there’s actually a reason experienced transaction management matters so much.

Real estate has a LOT of moving pieces. One change can create three new tasks. One unanswered email can require another follow-up. One missing signature can sit unnoticed until someone actually reviews the file. And one seemingly small update can affect the lender, title, the client, the other side, or the closing timeline.

My job is to keep track of those pieces so my agents don't have to spend their day wondering what they forgot. And yes...sometimes that means following up on the follow-up to the follow-up. 😉

Okay, Realtors…be honest. 😂

Which square have you already checked off this month?

Bonus points if you’ve experienced more than one in the same transaction. 👀👇
